Transportation Assistant

Department: Transportation Office

Reports to: Transportation Coordinator

Status: Non-Exempt, Part-time or Full-time (As determined by hiring needs)

Summary

Working under the direct supervision of the Transportation Coordinator, the Transportation Assistant provides essential support in managing the daily operations of senior transit services, home-delivered meals, and Volunteer Rides. This role is a hybrid of administrative assistance and direct service; the Assistant serves as a primary aide to the Coordinator while remaining ready to step in as a driver for meal deliveries or client transport when needed.

Duties and Responsibilities

● Administrative Support: Assist the Coordinator in prioritizing and scheduling daily trips and driver workloads.

● Direct Service: Serve as a backup driver for home-delivered meals and client transportation to ensure no service gaps.

● Data Management: Accurately enter transportation and ride data into My Senior Center and Assisted Rides software.

● Communication: Act as a secondary point of contact for drivers and members, ensuring clear and compassionate communication.

● Fleet Oversight: Help ensure vehicles undergo daily safety inspections and remain up to date with routine maintenance.

● Client Safety: Follow strict protocols for home-delivered meal clients, including immediate follow-up procedures if a client does not answer the door.

● Collaboration: Work with the Business Manager to assist in ride logging and monthly billing preparation.

Training Requirements

● Compliance Training: Complete and maintain driver training in full compliance with NMAAA requirements.

● Safety Certification: Successfully complete a Defensive Driving course as coordinated by the Executive Director and Transportation Coordinator (p. 1).

● Vehicle Operation: Specialized training on the safe operation of wheelchair lifts and securing assistive devices.

Physical Requirements

● Lifting & Carrying: Ability to lift, carry, and maneuver items up to 50 lbs, including heavy meal containers and equipment.

● Mobility Assistance: Capable of operating mechanical lifts and other assistive devices to safely help clients in wheelchairs in and out of vehicles.

● Stamina: Ability to sit for extended periods while driving and frequently exit/enter vehicles to assist passengers or deliver meals.

● Manual Dexterity: Sufficient physical coordination to perform daily safety inspections and secure wheelchairs within transport vehicles.

Knowledge, Skills, and Abilities

● Software Proficiency: Proficient in Microsoft Office and Google Docs; able to quickly master specialized transit software.

● Interpersonal Excellence: Strong people skills with a responsive and understanding attitude toward seniors.

● Task Management: Ability to handle multiple tasks in a fast-paced environment and prioritize effectively.

● Teamwork: Able to work independently while remaining a collaborative team player.

Minimum Qualifications

● High School Diploma or equivalent; some college or work experience equivalent preferred.

● Valid NM Driver’s License with a clean driving record.

● Vehicle Comfort: Must be comfortable driving all types of vehicles, including multi-passenger vans and lift-equipped transit units.

● Experience working in an office environment or with senior populations is highly preferred.


Custodian

Job Title: Custodian

Reports to: Executive Assistant

Status: Non-Exempt; 20-30 hours per week

Summary: This custodial position’s primary duty is to maintain cleanliness in the Senior Activity Centers.

Duties and Responsibilities: 

● All floor care (carpet & tile), vacuum and washing.

● Cleaning restrooms

● Trash removal; recycling removal

● Checking paper supplies, dispensers

● Checking soap dispensers

● Dusting as needed

● Assisting with snow removal and ice treatment as required for the safety of the seniors.

● Setting up and putting down tables and chairs for meals and other events.

● Check the grounds for trash.

● Light outdoor gardening as needed.

● Performing other duties as assigned by the Executive Director or Executive Assistant.

Knowledge, Skills, and Abilities Required:

● Cleans with thoroughness and care.

● Is attentive to product directions and requirements.

● Is personal and client safety oriented.

● Is pleasant with staff and clients.

● Is observant of building problems and reports hazards to the Executive Assistant

Minimum Qualifications: High School Diploma or GED, appropriate training and /or

experience.

Day Out Coordinator

Department: Day Out

Reports to: Executive Director

Status: Non-Exempt

Summary:

Under supervision of the Executive Director, the primary responsibility of the

coordinator is to ensure that the clients’ needs are accommodated to the greatest

extent possible. The coordinator is the primary communication link between the

caregivers and the program. The coordinator ensures that the program is meeting

all federal, state, and local guidelines.

Duties and Responsibilities:

● Develop and maintain service plans for all participants.

● Take and record vital signs on all participants on a weekly basis.

● Be able to learn and use Well Sky-Aging & Disability program, formerly

Mediware and SAMS=Senior Aging Management System.

● Input data daily into systems

● Be able to interview and fill out a full assessment of all senior participants on

a regular basis as required.

● Maintain a daily attendance log and SOAP notes for participants.

● Provide weekly updates to family members.

● Assume responsibility for the day-to-day operation of the Day Out

● Prepare and distribute a monthly schedule for Day Out activities.

● Create in house and field trip programming based on client interests and

needs.

● Arrange for substitute staff members as needed.

● Plan and carry out staff training.

● Meet with caregivers on a quarterly basis or more frequently, if needed

● Perform intake interviews with clients and caregivers.

● Market the Day Out program and services to the community

● Collaborate with other programs and services to enhance the quality of life

for participants.

● Work with Medicaid and other insurers as warranted.

● Perform such duties as required by the Executive Director

Minimum Qualifications:

Have a baccalaureate degree from an accredited institution of education in the field

of social work, psychology, counseling, geriatrics, or a related health care field, or

be a Registered Nurse, 3 years’ experience and training in working with the elderly

or special populations, at least one-year supervisory experience.
